Keyflow: Run Shortcuts Directly from Your Keyboard. My Most Used Toolbar "Messages"
My Messages Toolbar
My Messages Toolbar is one of the Keyflow toolbars I use every day while communicating with friends, family members, coworkers, clients, and tenants.
One of my favorite features is having my most-used emojis directly on the toolbar. I no longer need to switch to the emoji keyboard just to insert an emoji—the ones I use most are already right where I need them.
AI Cleanup
When I type on my phone, I am often thinking faster than I can get the words onto the screen. Sometimes I accidentally leave out a word, and my grammar, spelling, or punctuation may be missing something.
That is why I created an AI Cleanup action for Keyflow. With one tap, it takes everything I have already written and cleans it up using AI. In the main Keyflow app, I can choose which AI model I want the action to use.
Before sending an important message, I almost always run my text through AI Cleanup to make sure everything is clear and correct.
My Evernote Folder
My Evernote folder may be my favorite part of the toolbar. When I tap the folder, it opens a menu containing the Evernote Shortcuts I use most:
Inbox
Waiting For
Someday/Maybe
Keyflow
Record New Note
Projects
I organize my life in Evernote using the Getting Things Done, or GTD, methodology alongside the Building a Second Brain system.
While messaging a friend, family member, coworker, client, or tenant, something may come up that I need to remember, reference, or act on later. Instead of leaving the conversation and hoping I remember it, I can tap the Evernote folder and select the appropriate Shortcut.
For example, a tenant might message me:
“Hey Cameron, I don’t have a copy of my lease agreement. Can you send me one when you have a minute?”
When I cannot handle the request immediately, I tap my Inbox Shortcut and capture it for later. Evernote provides useful Shortcut actions that make it easy to create a new note inside almost any notebook or journal.
This same workflow can be used to capture information throughout every part of my day.
Reminders Directly on the Keyboard
Keyflow also has a built-in Reminders Toolbar. When activated, my reminders appear whenever the keyboard is open.
I have always been bad about checking my calendar or opening the Reminders app. Putting reminders directly in front of me—bright orange and visible above the keyboard—gives me the same feeling as leaving sticky notes around the room. I am much more likely to remember something when I repeatedly see it throughout the day.
Keyflow also includes an Add Reminder Shortcut action. This allows users to keep the systems they already know and create automations that bring information from Apple Calendar or Apple Reminders directly into Keyflow each day.
The customization possibilities are nearly endless.
My Other Toolbar Actions
The remaining actions on my Messages Toolbar include:
Insert Personal Information
Quickly insert commonly used information such as my name, phone number, or email address.
Insert Property Address
Open a list of property addresses I regularly visit or share while communicating with tenants, contractors, employees, and clients.
Resize and Share
I frequently work in remote locations where cellular service is unreliable. This Shortcut resizes a photo to a much smaller file size, making it easier to send through iMessage or SMS when the connection is weak.
Share Contact
Run a Shortcut that opens my Contacts app, allows me to select a contact, and quickly share that person’s information.
This Is Only the Beginning
These examples represent only a small part of what is possible with Keyflow.
I look forward to sharing more of the keyboard toolbars I have created for different apps, along with other Keyflow features such as custom sequences, standard dictation, AI-powered dictation, and customizable profiles.
